Build the spare list around the outage scope
Start from the planned maintenance work and inspection scope. A critical-spare list is more useful when each item is linked to the actual outage task, installed position and replacement decision.
- Planned work package or inspection area
- Critical installed assemblies likely to be opened or removed
- Existing spare availability and condition
- Lead-time exposure where replacement definition is incomplete
Capture inspection findings in a reusable format
Measurements, photos, wear observations and removed-part references gathered during inspection can become the evidence package for later procurement instead of remaining as isolated maintenance notes.
- Dimensions with measurement method / reference points
- Wear location and orientation
- Photos tied to equipment tags or part IDs
- Disposition: reuse, repair, replace or further inspect
Lock replacement definition before the delivery clock starts
Supplier lead time is only one part of the schedule. Time is also consumed by drawing review, missing measurements, material confirmation, manufacturing approval and packaging requirements.
Plan packaging and export as part of the spare
Large, precision, treated or contamination-sensitive components may need specific handling, identification and protection. Export packaging should be defined early enough that it does not become an afterthought at dispatch.
Separate installation responsibility from component supply
For items involving bonding, surface preparation, alignment, sensing or functional checks, define who owns field preparation, installation, commissioning and acceptance. This prevents a component-supply quotation from silently inheriting site-service responsibilities.
